Minutes of Area E Telephone Conference

Meeting commenced at 8:05 pm.
Mark welcomed everyone to the call. He is the new Area Director. He would like to visit each region to meet the RC’s and boards He wants everyone to know that he and the Area board are available to them.
Updating eAYSO Region Information Forms
Each region is responsible for ensuring that the information in eAYSO is up to date and current. This is how the Area/Section/National volunteers disseminate information to the regions. There are or will be new RC’s in Fallon (Chris Esposito), Graeagle (Tiffany Panfili), Winnemucca (Tammy Fernandez), Sparks (Tony Trexler), and Fernley (still waiting for paperwork).
Section Conference (Award Nominee?)
Section Conference will be in Sacramento on February 13 – 15. Mark will not be attending. The Award nominees were discussed.
TASK :
§ Mark will check with Dena to see if there were any volunteer nominations for Volunteer of the year and who the past recipients were.
§ Eric and Chris will spread the word and see if there are any volunteers that should be recognized and nominated for the section award. This information will be emailed to Mark.
Area Budget (Area &NSTC fees)
Mark explained that the Area is dependent upon the Regional Assessment Fees for the Area’s Budget. Area fees need to be paid. This is what assists the area/regions to put on training camps and keeping the Area staff appropriately trained. There are a few regions with outstanding balances. However, no invoices were mailed out in 2008.
Area E Training Camp for 2009 (Management, Coach Referee & Instructor Training & other Training Needs)
What do regions need from Area?
The Area cannot address the region’s training needs without this input back from the regions.
Coaches need to be trained appropriately and work on more fundamentals.
Chris reported that last year’s training camp, held in June, in Area F was good. But after the camp, it was discussed by Section that Area E hold the camp instead. Area E needs to get going on this if we are hosting the camp.
Sparks/Reno has several locations with fields and classrooms that may be available for the camp. It was suggested that Fallon was a more central location for the Area to host a camp balancing the travel distances more evenly. June 6 & 7 or June 13 & 14 are possible dates.
Chris mentioned that his goal is to get ahead of the training for coaches so that once the coach has received their team, the training has already been complete.

Spring Season & Secondary Seasons
There was discussion about adding an additional (spring) season to regions that are currently only offering a fall season of play. The AD is encouraging all regions to consider the benefits of offering a second season to their regions. Benefits include offering our program to more kids who may not be able to play in the fall, for those who would take advantage of both seasons they would gain more touches on the ball and better technical skills. In many of our regions the kids are already participating in a spring season by playing on GBYSL teams. It is the belief of the AD that GBYSL is an inferior program to AYSO by not offering a spring season our members are forced away from AYSO to GBYSL. The spring season is done in the same format as the fall season and generally would run for about six weeks ending by Memorial Day. There is little or no additional cost involved since the NTSC fee is valid from Aug01 to July31 of each year. The only additional cost would be the nominal cost of paint for fields etc.
Also given some discussion was a Secondary/Select Season. Currently some of our regions (Elko) offer a secondary season. This season is offered in addition to not in place of the regular season and is intended for those players who want to play on traveling teams competing in tournaments that are generally offered in the months of June and July.
Mark also spoke briefly of Advanced Play which is a program the Area offers for high school players who want to improve their skills, enjoy more playing opportunities and get assistance (free of charge) in marketing themselves to colleges for post high school play. Players interested in collegiate play are assisted in contacting coaches and helping to arrange tryouts at colleges.
The main emphasis on playing is summer/winter traveling team tournament competition.
Starting August 2009, all U14 teams must have Intermediate Coach Certification and teams above U14 must have Advanced Coach Certification in order to play in tournaments sponsored by AYSO.
TASK: Mark will obtain a copy of Elko’s Regional Guidelines so that other regions may see how they set up their seasons and secondary play.
Chris asked how many regions currently have a spring season. Mark replied that Battle Mountain, Elko, and Winnemucca do. It is a late winter registration. The season plays from April to May and the Select teams play June/July.
New Area Board Members & open positions
Mark will update and prepare the paperwork for all Area Volunteers. Area volunteers submit their volunteer forms through the region that is nearest to them.

The Section Tournament is held in Winnemucca and is open to U12 and U14 only.
Creation of an Area website
An area website is being created. The address is: area2E.clubspaces.com. If you know of any information that can be added or needs updated, please let Mark know. Eric volunteered to maintain the website until someone fills the position.
TASK: Chris will check to see if a website domain name was already purchased.
New Items
- There are outlying areas that are struggling. We need to reach out to them to ensure that they receive the training and support required to get their regions going. Mark mentioned specifically Fallon and Graeagle.
- These conference calls are a great way to communicate between the regions and area staff. We will continue to hold the conference calls on the last Sunday of each month.
Mark closed the meeting by letting everyone know that he looks forward to working with everyone and he is available if we need him.

Meeting commenced at 6:02 pm.
- Dena Anderson was unable to join in the teleconference and had asked that Eric Herzog lead the meeting.
- Eric has again requested that each Regional Commissioner PLEASE update their (Regional) Information Forms with in eAYSO, and that every Board Member (all volunteers) assures that their information is listed correctly and that an email address, if available, is updated accordingly. This is necessary for the AREA or anyone else in AYSO to be able to get the information to those who specifically need it. Address lists are generated by the available data in eAYSO which is often outdated and thereby hinders effective communication. He can assist in guiding any RC through eAYSO who is unfamiliar with the process, or you can use the user guides on the help menu in eAYSO and of course you may always contact NSTC during the daytime for help.
- The Area wants to remind everyone to communicate their training needs and planned courses to Dena and Eric ASAP so the Area can begin making plans for the Instructors needed, and so that nearby Regions could be made aware of these plans and be able to join in those training sessions where necessary.
- Plans for the Area (F & E) camp have progressed and a flyer has distributed via email to the RC’s of each Region. Region 166, Sparks, had indicated that they planned to reimburse their volunteers the Area course fees upon showing successful completion of any of these classes.
- Chris Gear Indicated that Sparks training schedule is on their website @ www.sparksayso.org and that all regions are welcome to send volunteers to these trainings.
- Chris also informed us that he has confirmed July 25th and 26th for Safe Haven and U-6 thru U-12 Coach training in Winnemucca, and would be looking for the assistance of other instructors to assist him.
- Eric cautioned that with both the Area Camp in Minden, and the Golden Gate Camp (August 1-3) in Moraga, CA; that it may be difficult to justify to Section the need for any additional Intermediate Coach Courses in our Area this year. Section 2 needs Golden Gate camp to fill up and to be successful! It is therefore requested that Regions send their eligible volunteers to one of these two camps, and that only if there were still enough volunteers in our Area who would not be able attend one of these would Area be able to approve the Intermediate Coach Course request in Sparks on July 19th & 20. Please send Eric and Dena the names of volunteers who may be interested in this training. LATE ADDENDUM: Dena has also requested a $50 deposit per volunteer registering for the Intermediate Coach Course (refundable upon their actual attendance of the course) before the course can be approved.
- It was suggested that our regular meeting time on the first Sunday of each month be moved to later in the evening as it was felt that more people would be able to join if the meeting did not cut into summertime activities and it was proposed that the meeting begin at 8:00 pm, rater than 6:00pm as has been the regular time. LATE ADDENDUM: Because of the 4th of July holiday weekend, the meeting which would have occurred on the 6th will tentatively take place on the 13th at 8:00 pm.

Meeting commenced at 6:05pm.
- Dena opened the meeting asked that Angel update the April minutes to reflect, that all trainings for coaches at and above the Intermediate level, will require Area and Section approval.
- Area Update
- Reminder that Registration forms need to be requested six weeks in advance.
- Dena is waiting to hear from Holly on Referee training in Winnemucca.
- Area F Camp flyers have been sent via email. This will be held on June 27-29 in Minden.
- Reminder – support Golden Gate Camp. The camp is being held on August 1-3.
- If any one is interested in training with the Lakeview Region, training will be held on August 9-17th. Please let Dena know. Also they will have UK camp August 11th.
- Bobby is and Advanced Mgmt Instructor. Dena will see if we can utilize her talents. Dena will email Section for assistance with coordinating
- Send names of those who need Intermediate and Advanced Coach Certifications and those attending Golden Gate.

Meeting commenced at 6:06pm.
- Dena opened the meeting thanking everyone that is participating in the teleconference. Also to Eric for setting up these conference calls and would like for them to occur on a regular basis.
- Area Update
- John Haug resigned as the Area Referee Administrator. Please look within your regions for anyone who may be interested in this position. If you have an interested person, please have them notify Dena.
- Area E only has two Advanced Management Instructors.
- Eric Herzog (ACA) is working on getting his National Coach and Instructor certification.
- Angel McGovern is our Area Secretary.
- Region 370 (Fernley) is celebrating 25 years of being with the AYSO Charter on September 24, 2008.
- Shane Moore, Region 710 (Reno) is officially the new RC.
- Mike McGovern RC, Region 370, last season as RC
- Mary Kay RC, Region 546, looking for a replacement
- U-12 Tournament will be held in Winnemucca
- Possibly a U14 Tournament will be held in Elko
- Golden Gate Camp
- Dates have been set. August 1 thru August 3, 2008.
- Dena mentioned that there is not much in the Area account, but if you want to send someone, the Area will figure something out.
- Mini Camp Area E & Area F
- The mini camp is in the planning process. Currently the dates for the camp are June 28 and June 29 in Area F.
- Prices are being reviewed to make the event economical for all regions to attend. The two Areas are looking into seeing if Section will pay for part of it.
- The following courses are being considered to be offered:
- Regional Coach (U6, U8, U10)
- Regional Intermediate Referee
- BASIC
- Treasurer
- Anything that was offered at the Section Conference can be put together and be offered at the mini camp. If you are interested in teaching a specific course, as we need Area representation at the camp. Please let Dena know.
- Dena encourages each region to continue to do training for your regions. Keep training modules going and set up classes so National can assess needs.
- Chris (Region 166 RCA) mentioned that he would like to continue to pursue his Coaching Clinic. Dena reminded him that any clinics outside of the Intermediate level will need to be approved by Area.
- Fallon and Sparks are always open to offer training. Dena mentioned that Region 556 is also good.
- Dena informed the team that Holly is working with Section on Referee instruction. Action Item: Dena will work with Mary Kay on holding the training in Winnemucca.
- NAGM Update
- Plan on the $2.00 increase. The fee will be $13.75
- If you are unable to attend, please send in your proxy. Another Board member may attend in the absence of the RC
- Dena recommends that the RC takes the questions to the board and have a collaborated vote.
- It is tough finding volunteers in all regions. Get the parents involved at the U5/U6 age level. Eric (ACA) did a U5 Training that was successful for the coaches and parent. Not too much time consuming. It consisted of six session of 1 hr and 20 minutes. Parents maintained the nets. For more detailed information on this program, you may contact Eric or Mary Kay.
- Jerry (RC Sparks) states that they have run a U5 division for the last three years with great success. The only issue they have is that the organizational skills of the training needs some work.
- Regional By-laws
- Action Item: Everyone needs to review their by-laws and send Dena a copy for the Area records.
- Inter-region Play
- If you plan on playing outside your region, please notify Dena of all the details.
- By-laws need to be created for our Area. Dena is working with Area N and will modify their by-laws for our Area with the Area Board. Action Item: Dena will email a copy of the by-laws to all the RC’s for review
- Region 166 is in the 3rd year of inter-region play during the regular season and plans on continuing this year with Region 710 (Reno), Region 370 (Fernley), and possibly Fallon.
- National Games – Fallon is sending a team.
- Regional Commissioners
- Dena reminded the outgoing Regional Commissioners that it takes roughly 2-3 months to get the new Regional Commissioner approved from national. As soon as you have an individual that is interested, please get the paperwork to Dena as soon as possible.
- Area / Regional Assessment
- Please use the area and regional assessment programs as a guideline for training.
- Action Item: Lakeview, please submit your training needs to Dena
- Volunteer of the Year for Area E
- Action Item: Please submit your nominations to Dena of a volunteer that has done an exceptional job this season.
- Dena expressed that everyone needs to update their board members on EAYSO. This is the easiest way for everyone to get in contact with each other.
- Reminder – Please copy Dena on all emails that are sent to the Area Board.
- Teleconferences
- It was discussed to have these meeting on the first Sunday of each month at 6:00pm.
- Also for the conferences to be problem specific to focus on Area/Regional concerns or issues.

- Shane (RC Reno) was and still is jazzed about the clubspaces.com website. He informed the team of the capabilities of the website. Some of the features are listed below:

- Golden Eagle Sports Complex
- The City of Sparks has 125 acre sports complex that can be used for tournaments. Chris Gear advises everyone to visit the website. Dena will talk more about the possibilities of this complex.
- Advanced Play
- Dena expressed that it is sad to see the kids play up to a certain level and then they go away with the skill that we have provided.
- Advanced Play was developed for high school level kids (U16 – U19) to play in the spring time to give them a chance to go to tournaments and bee seen by college scouts. Mark Lake assisted in getting this program started. Since its inception, 27 players have received college scholarships from colleges.
- Secondary Play
- If you are interested in this, please see Dena for the information to change your regions bylaws. Region 556 has written and approval by National for their secondary play.
